We have two ways to upload a spreadsheet of guests:
- Directly to a guest or recipient list for a mailing
- To your Address Book, where you can save lists of recipients for later use
This articles covers uploading a spreadsheet directly to your guest list. We have a separate article to help if you'd like to upload a spreadsheet to your Address Book.
Uploading a Spreadsheet
If you are accessing our site from a computer, then you can choose the Upload (.csv, .xlsx) option from your mailing's Add guests / Add recipients page to upload a spreadsheet.
Please download our spreadsheet template here to get started (you may need to right-click the link to copy and paste into a new window if your browser is blocking your download). This template can be opened and edited using Excel, Numbers, Google Sheets, or the spreadsheet program of your choice, though it must be saved as a .csv or .xlsx file for uploading.
Formatting your spreadsheet
The Name column can be split into 2 columns with "First Name" "Last Name" headers, if you choose. The Name column should have the entire name you want to display for any Individual recipients you include (e.g. "Jay and Daisy Gatsby). For those who are added with an accompanying "Group Name", you should add just one person's name in this column (e.g. "Clarissa Dalloway", "Elizabeth"). For First Name / Last Name columns, you can include the text across both columns in the order you wish it to display (e.g. First Name: "Jay and Daisy / Last Name: "Gatsby". In this case, you would want to ensure the Total Invited column has the number "2"). This column is required.
The "Group Name" column allows to you create groups of guests, such as couples or families. Enter the couple, family, or group name for each guest who belongs to a group. You don't need to add a group name for everyone — guests without a group name will be added as individuals. If there are formatting issues with any group members, you will see a message explaining the error. Please note that if only some guests in a group failed to upload, the rest of the group may have uploaded successfully. You should check back in Add Guests to see if you can add the failed guests directly to their group (click on a group in the list to edit it). This column is optional.
The "Email or Phone" column should have a single Email Address or Phone Number. If you have more than one contact for any recipient, you must choose one of them to send it to (you can always resend to a different contact method later, should you need to change based on the recipient preference or any deliverability issue). This column must have either a phone number or an email for all Individual recipients, but it can be left blank if the invitee is a member of a group. This column is required.
The “Total Invited” column allows you to include additional guests or plus ones for Individual recipients. This column should only be filled in for Individual recipients (for Groups, you can leave this column blank or add the number "1" for each row). For example, if you set "Total Invited" to 4 for a guest, that person can bring up to 3 additional guests. Each guest can have up to 10 total invited. If each guest is allowed the same number of additional guests, you can save time by simply setting a default value in the "RSVP options" menu on your event. This column is optional.
The "Message" column is to include personal messages for guests which appear in the body of the email they receive. You'll be able to enter a private message for as many guests as you want. If you enter a private message exceeding the maximum 200 characters, that guest will fail to upload, and you’ll see a message that the guest was formatted incorrectly. Personal messages also cannot be uploaded with guest groups at this time. If you have a personal message for a group, you must add them without the message, then edit the group to add the message after uploading from the Add Guests page. This column is optional.
Re-formatting an existing .xls/.xlsx/Google spreadsheet to a .csv file
It's no problem to use an existing list as the starting place for your event. Please note you will need a "Name" column and an "Email or Phone" column set up exactly as shown above to mirror our template, and additional column headers not listed above cannot be accommodated.
Saving your spreadsheet
If you are using Excel, you can save as either a .xslx or Save As a .csv file.
If you are using Google Sheets, save your file as a .csv file by going to File > Download As > Comma-separated values (.csv, current sheet). If using Numbers
If you are using Numbers, save your file as a .csv file by going to File > Export To > CSV...
Troubleshooting and limitations
If your spreadsheet is not uploading as expected, or names are missing, please make sure that the column headings match our Invite Guests Spreadsheet template, which differs from our Address Book Spreadsheet template.
The option to upload spreadsheets is not currently available on mobile at this time.
